Quick answer
Size infrastructure for the work your server performs: concurrent users, call duration, databases, files, queues and local processing. Using an external AI API differs from hosting a model. Measure a pilot and separate infrastructure costs from model usage.
Saying that an application uses AI does not yet inform the size of the server. The template can run on another provider, while your backend takes care of users and integrations. Or the project can perform local processing. Each design requires a different conversation about capacity.
- Map components
- Estimate concurrency
- Measure a pilot
- Adjust capacity and budget
Draw where each step takes place
List the user entry, authentication, data query, call to the output template and storage. Check which services run on the server and which are external. Include tasks that process files or run continuously.
An API that awaits external responses has a different profile from a local document processing. If the plan includes a local model, memory detail, processing, and possible GPU. The site catalog should not be interpreted as an infrastructure guarantee for any model.
Bring estimates that help you decide
- Active users and simultaneous amount at peak.
- Calls per user and approximate duration of each flow.
- File size, database and predicted growth.
- Runtime, database and versions required by the application.
- Rows, workers and scheduled tasks, when there is.
- Location of the public and availability requirements.
Separate infrastructure and AI consumption
The server budget and the consumption of external APIs are different components. Estimate frequency, input size, and amount of attempts. Set limits on account or operation to identify deviations during the pilot.
Do not base hiring only on the best case. Test larger entries, unavailability of the provider, and increase of users. See how the application responds when a step delays and how you prevent non-limit retentatives.
Turn daily volume into a concurrency estimate
A thousand daily users do not describe peak load. They may arrive throughout the day or within a few minutes. Estimate operations starting per second during peak use and how long they remain in progress. This helps plan occupied connections and processes.
As a hypothetical example, two new calls per second lasting five seconds on average imply roughly ten calls in progress under steady-state conditions. This calculation does not determine RAM or vCPUs: it only estimates the order of magnitude of concurrency. Peaks, duration variability and retries require headroom and testing.
Separate three types of work
Receiving requests and waiting for an external API creates network and concurrency demands. Converting files and preparing documents may require CPU and memory during a batch. Local inference depends on the model, numerical precision, context and hardware, and may require a GPU. Do not apply one plan to all three cases without measuring.
Memory capacity includes runtime, processes, database, cache, and temporary data. Uploaded files also require workspace, retention, and backup. When the application grows, the limiting component can change without increasing the number of users in the same proportion.
Set up a test that includes the difficult case
Use small and large entries, questions that cannot be answered and provider failures. Register response time, error rate, resource usage, and queue age. Test the expected peak long enough to observe accumulation, not just a short burst.
Set the target before measuring: what delay is acceptable, and what happens beyond the limit? A queue with clear status may be better than leaving the customer waiting without information. Retries must have limits so an external failure does not become increasing cost and load.
A briefing that allows a verifiable proposal
Provide the component architecture, versions, database, file volume, estimated peak and availability needs. Mark unknown requirements as pilot assumptions. The proposal should specify what will be tested and which components are included.
In WordPane, the Custom Form organizes this conversation. Public catalogue should not be interpreted as a GPU offer or support for any local model. API costs, external databases and additional storage need to be discussed separately to compare the actual budget.
Set the delivery tests
Describe how to recognize that the project is ready: running flows, response measures for your test load, diagnostic records and recovery procedure. This allows comparing the proposed solution with the actual need.
The WordPane-measured form organizes contact, design, use, and operation for commercial analysis. If you do not yet know some numbers, please inform the question. The team may indicate which data is missing and which tests will help estimate consumption.
Choose the project environment
Compare the plans or send the application requirements to the WordPane team.
